Paper Cuts

Shepherd and Wedderburn has slashed the amount of paper it uses by more than one third after switching to a new electronic filing system.

The leading UK law firm installed Interwoven Worksite to ease the burden on staff who used to deal with mountains of paperwork each day.

Worksite enables all documents and emails to be loaded straight onto a central filing system and is the first step towards a paperless office.

The firm still has to keep some of its clients' documents such as wills and contracts as hard copies, but these can be scanned and uploaded onto the new system.

The switch has enabled the firm to cut its paper usage and, since all documents are now available online, it has seen staff reduce the amount of time spent sifting through paperwork.

Shepherd and Wedderburn IT Director Gary Alman said:  "Although a considerable amount of our communication and exchange of documents is done via email, we still receive a high volume of paper-based correspondence.

"However, now we have the capability to scan this directly into Worksite and move to a truly electronic filing system.

"We have already seen a considerable reduction in the amount of paper the firm is using; we estimate this is now down by 35%.

"We are also making cost savings as a result of switching to this system, and the firm has also freed up lots of storage space.

"More than 4.5 million documents and emails have now been uploaded to the Worksite system and this enables staff to respond more quickly to our clients' requests as they no longer need to wade through piles of paperwork."

Shepherd and Wedderburn also has a safeguard in place to ensure information is never lost.  Once a document is saved onto the system, a copy is made in another data centre.

This means that if one data centre is down, the firm would still be able to access clients' documents. Gary added: "This is a significant improvement on the paper filing system."
